Help on the Rotary District Directory

Username and Password
The online Directory is password protected. It is published solely for the use of Rotarians in District 5340. Its use as a commercial mailing list or giving access to non-rotarians is strictly prohibited. If you do not know the username and password, they can be sent to you by email provided you are listed in the directory. See the retrieval tool at the bottom of the entry page. If your email address is not in the system, or has changed, call the District Office at 619-299-5341 to get this information.

Updates
If you are listed in the Directory, you can update your contact information by clicking the "Edit" icon, on the right of your name: . Update your information and click the "Save" button. Your information has been updated on all the pages where you are listed.

Additions
If you are not listed in the directory, you can add yourself into the Directory by clicking the "New" button next to the "Search" button on the main page. Enter your information and click the "Save" button. Please do not enter duplicate persons. Check first that the person is not already in the database. To check if somebody is already in the database, use the "Search" feature on the main page, or look at the Alphabetical Index. If you add somebody in the Directory, they will appear on their own club member list. They are also listed in the Alphabetical Index, or accessible by a Search. If you need them included in other District Leadership pages, send your request to Directory@Rotary5340.org.

Deletions
If the member is still a Rotarian, and has moved to another Rotary Club, just update the Club for the member and he/she will be moved to the new club member list. If the member has moved to a Club outside the District, update their record by selecting "Outside District" towards the bottom of the Club list. If the member has resigned from Rotary, then send deletion requests through the Lost Member form.

Club Positions
The database is a database of persons, not club positions, so if your club treasurer has changed, please DO NOT update the record of the old person with the information of the new person. This is why you cannot change the last name of a record. Instead, please check if the new treasurer is already in the database. If he/she is not in the database, add him/her using the "Additions" instructions above. Then, click on your club on the Club Leadership page, click on the Edit icon on the left and use the online form to change the club positions. Please make sure you update the information for the correct year. There are links to go to the previous or next year.

Custom Club Positions
There are 12 compulsory listings (18 for 2006-07 and after), but you may also add some new positions (one at a time) at the bottom of the form. Custom positions are listed after the 12 compulsory positions (18 for 2006-07 and after), in the order they were created.

Deletions of Custom Club Positions
To delete a custom club position, change the assignment for this position to "Position not filled" (on top of the select list) and click "Save". You can only delete a custom position, not one of the 12 compulsory positions (18 for 2006-07 and after).

Pictures
This is a new procedure to upload photos.
If your picture is not in the Directory, or if you would like to change the current picture, you can click on the existing photo, or on the replacement logo, then select a JPG file on your computer to upload on the website. The photo must be in JPG format, and will be resized to 80 by 100 pixels. Please allow a couple of weeks to process the photos. Photos resized to 80 by 100 before uploading will be processed faster, but the photo must be exactly 80 by 100 pixels, and zoomed onto the face of the subject.

Member Number
The member number is used as a key to reference each person in the database. The member number is the one used by Rotary International in Evanston. If we do not know the member number, a negative value is assigned automatically by the system. If you know the member number when you enter a new person (from a Foundation report for instance), please enter it. Otherwise, leave it blank and we will update that for you.
